Pickup day — the volunteer's card

Text this with the link. It fits on one phone screen. Nothing else is needed.


Open the link. Tap a name when they arrive. That's it.

  • The screen says Pickup check-in and, under it, "Tap a name when they arrive." Type part of a name or an order number in the search box to find someone fast.
  • Tapping shows "Checked in — {name}". If they still owe money it also says "Collect $X now." Take the check or cash. Don't worry about recording it — the coordinator does that.
  • Wrong person? Their row now has "Undo check-in — {name}, order {number}". Tap it. You'll see "Undone".
  • No signal? The badge turns amber: "Offline — taps are saved" and "{n} waiting to sync". Keep tapping. When the bars come back you'll see "Back online. {n} updates sent." Nothing is lost.
  • A red row that says "Not picked up" can't be checked in from your phone. Send the person to the coordinator's table.
  • A note saying "Already checked in on another phone" means another table already handed their plants over. Check with that table before handing out a second set.
  • Anything the screen tells you to ask the coordinator about — ask. Don't work around it.

For the coordinator, not the volunteer:

  • Make the link on Pickup day → Volunteer check-in → Generate volunteer link → Copy link. Volunteers don't need an account. Pick how many days it lasts (1–30).
  • A new link does not switch off an old one. If a link went to the wrong people, press "Turn off all volunteer links" — that kills every live link at once.
  • Ask volunteers to open the link once while they still have signal (at home, in the car). The phone keeps a copy of the roster and works in the barn even with no bars.
  • Volunteers can't mark anyone "not picked up", can't record payments, and can't undo a check-in older than 12 hours. Those are yours, on the order screen and on Pickup day.
